1. What this application does

GWS Email Signature Manager is a Google Apps Script application that helps Google Workspace administrators set and manage Gmail email signatures for users in their domain.

2. Data we collect

We do not collect, store, or transmit any personal data to external servers. Specifically:

  • Your service account credentials are stored only in Google Apps Script Properties, which reside entirely within your Google account.
  • User directory data (name, email, title, phone) is fetched from your Google Workspace directory at the time of applying signatures and is never stored or logged.
  • Email signature content is written directly to each user's Gmail settings via the Gmail API and is not retained by this application.

3. Google APIs used

  • Admin SDK Directory API — to list users and organisational units in your domain.
  • Gmail API — to read and write Gmail signature settings for users (via domain-wide delegation).

Use of Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

4. Data sharing

We do not sell, share, or disclose any data to third parties. No analytics, tracking scripts, or third-party services are embedded in this application.

5. Data retention

No user data is retained. All operations are performed in real-time and no logs are kept.

6. Administrator responsibility

This application requires a Google Workspace Super Admin to authorise it and provide a service account with domain-wide delegation. The administrator is responsible for ensuring appropriate use within their organisation.
